From Legacy ECM to Leading Edge: How Search Portals Transform Content Management

Jun 3, 2024 | Best Practices, Search Portal | 0 comments

As we move ever deeper into the digital age, the need for effective data management solutions becomes more pressing than ever. Enter the Search Portal—a tried and tested approach that allows companies to access valuable information in a simple, yet secure, manner. Additionally, as enterprises strive to keep pace with AI advancements and move away from outdated enterprise content management (ECM) systems, the relevance of search portals has never been more apparent.

A Search Portal provides a streamlined, read-only cache of documents and metadata outside the primary ECM repository. This post explores the benefits of adopting a Search Portal, from achieving AI readiness to minimizing exposure to outdated ECM platforms, showcasing why this solution is a smart move for forward-thinking organizations.

The Renewed Need for Search Portals

The concept of a Search Portal is not new. The cost savings and risk reduction provided by a Search Portal has been proven time and time again, but AI readiness and the lack of innovation from legacy ECM vendors is making these Search Portals even more relevant today.

AI is here, and while companies research the best way to implement AI, senior leadership is asking their IT organizations if their data and content is ready for AI. For the vast majority of companies, the answer is “no.”

For companies managing content and documents with legacy ECM platforms such as IBM, FileNet, CMOD, Documentum, OpenText, Alfresco, Nuxeo or Hyland, that data and content is most definitely not AI-ready.

The lack of innovation from these vendors is driving organizations to explore ways to reduce risk and dependency on these aging technologies. The reality is that these aging ECM tools will soon be retired– indeed, many of these platforms are already on life support. For example, IBM has not invested in CMOD for years and they sold the associated support business to UNICOM in 2016. Equally, Hyland is focused on building out a brand new product, Hyland Experience, putting Nuxeo, Alfresco and OnBase customers on notice that they should expect little more than maintenance updates only for future releases.

Since moving off of an existing platform is expensive and risky, many organizations look to a Search Portal as an impactful way to provide streamlined access to their documents and content while also reducing the risk and reliance on aging ECM platforms.

What Is a Search Portal?

A Search Portal is a powerful and streamlined search and retrieval interface designed to enhance and extend the capabilities of traditional Enterprise Content Management (ECM) systems. It operates by creating a read-only cache of documents and metadata, extracted from the primary ECM repository, and storing it in a more accessible, cloud-based environment. This approach significantly improves the efficiency and accessibility of document management processes.

The simplest form of the Search Portal is depicted in the diagram below:

In the diagram above, a cached instance of the documents and metadata resides outside of the primary ECM environment.

The Search Portal metadata and full-text index data is indexed into OpenSearch and read-only document copies are stored in Amazon S3.  Users and applications wishing to search and view content utilize the Veladocs user interface or connect to OpenSearch and S3 via API find and view metadata and content.

Overall, the Search Portal represents a modern, robust solution that addresses the limitations of legacy ECM systems while paving the way for future technological advancements.

Search Portal – What Are the Benefits?

The benefits of a Search Portal extend far beyond simple document retrieval, offering many significant advantages for modern enterprises. From achieving AI readiness to reducing costs and enhancing security, here’s how a Search Portal can revolutionize your ECM strategy.

AI Readiness

  • Transparent access to content: AI technologies cannot natively access content and metadata in many ECM systems (including CMOD, FileNet, Hyland, Alfresco, OpenText), due to the proprietary nature of their APIs, file systems and underlying databases. By caching content into OpenSearch and S3, this content becomes readily available to AI platforms, allowing IT organizations to proactively and securely prepare their architectures for the coming demands of AI.
  • Applied Document Security on AI Searches:  Many legacy ECM systems store their content in a single index. A Search Portal, such as Veladocs which runs on AWS, can take advantage of multiple search indexes, enforcing security and limiting which content is used to generate AI responses.

Cost Savings

  • License Management: Depending on the ECM repository in use, there is the potential for optimizing user licenses for both client and server usage.
  • External Content Access: Configuring the corporate firewall to allow external third-party users to access the Search Portal removes the need for these users to have access to the primary ECM repository. This subtle shift increases security on the main repository while also removing the need for external user licensing.

Reduced Risk

  • Limited Use of Legacy: Implementing a Search Portal limits the number of users accessing the full-featured ECM application. This implementation reduces training, support, and strain on the main ECM system which by default tends to be quite volatile due to the aging technology and complex underlying architecture.
  • Minimized User Disruption: In the future, should the decision be made to transition to a new ECM system, a Search Portal can be redirected to that underlying repository, minimizing user disruption and training.
  • High Availability: – The Search Portal can remain accessible, even when a primary ECM repository is out of service. This separation of systems is an appealing option to enable high availability for both planned and unplanned outages.

Simplified Integrations

  • Transparent Access: Content stored in a legacy ECM vendor is obfuscated behind complex and proprietary folder structures and databases and cannot be directly accessed, making every integration a custom development effort. By caching metadata and content to OpenSearch and S3, both can be accessed natively in AWS by other applications. This access makes integration significantly easier since AWS connectors are standard as part of many software platforms.

Streamlined User Interface

  • Simple Search and View:  Search Portal interface is optimized for simplified document search and view, making it intuitive to use for a typical document consumer.
  • Minimal Training:  The simplified user interface is often rolled out to consumers with minimal or no user training, saving time, reducing costs, and minimizing change.

Increased Stability and Performance

  • Improved Performance of the Primary ECM Repository: By removing users who need view-only access and search from the main ECM repository, performance of the underlying ECM system will improve.
  • Fault Tolerance: By creating a separate environment, document searches can continue even if the ECM repository is unavailable due to upgrades, maintenance or other unforeseen events.  Some companies create local instances of a Search Portal to provide search even if the network is unavailable when working from remote sites and plants.

Key Takeaways and Strategic Advantages of Implementing a Search Portal

Implementing a Search Portal is a strategic move that equips enterprises with the tools they need to modernize their document management processes. By creating a read-only cache of documents and metadata outside the primary ECM repository, companies can significantly enhance the accessibility and efficiency of their content management systems. This approach not only streamlines search and retrieval but also ensures that the data is prepared for integration with advanced technologies like AI, positioning businesses at the forefront of digital transformation.

As we have seen, one of the primary advantages of a Search Portal is its ability to reduce dependency on aging ECM platforms, which are often costly to maintain and lack innovation. By leveraging cloud-based services like OpenSearch and Amazon S3, businesses can cut down on licensing costs, improve system performance and enhance data security. This not only leads to substantial cost savings but also reduces risks associated with outdated technologies. A Search Portal offers a comprehensive solution to the challenges posed by legacy ECM systems. It enhances data accessibility, supports AI readiness, reduces costs and bolsters security, making it an indispensable tool for modern enterprises. As businesses continue to navigate the complexities of digital transformation, the strategic implementation of a Veladocs-based Search Portal can provide the competitive edge needed to thrive in an increasingly data-driven world.
